Qatch Partner Client Portal Dashboard
The dashboard provides real-time insight into reservations, wait times, and the current throughput at your location, enabling you to efficiently manage your daily processes and make immediate adjustments as needed.
Logging In
Go to https://portal.qatch.app to open the portal.
- Login: enter your e-mail and password.
- If you are a Partner, use the credentials you used to register on the Qatch Partner app.
- If you are a Company, use the credentials sent to you via email when you were added to the Qatch platform by Qatch Partner.
- Select the role you have. The available roles are: Partner, Sub-Partner, and Company.
Dashboard
Once you are logged in, you are taken directly into the portal and can see the dashboard. This dashboard provides an overview of various statistics and gives you direct insight into the performance and current status of your activities. In the top right of the screen you will find the general settings and quick functions of your portal:
Language button: here you can, if desired, change the language to English, German, French, or Spanish
“Square” icon: this switches you to full-screen view.
“Moon” icon: this activates or deactivates light or dark mode.
“Bell” icon: here you will find all your alerts and notifications.
Your profile button: via this menu, you can view and adjust your account settings. You can also log out here.
Rides
One of the most important functionalities within Qatch Partner is the ride management system (RMS). This system supports all processes related to rides, such as creating, assigning, and monitoring rides.
When you click on Rides, a dropdown menu appears. Here you can view:
- Rides – Current/active/upcoming rides
- History – This is the overview of all past rides. Via the “Action” button, you can view ride details, mark a ride as completed, or easily create a new ride based on an existing one.
- Market – Here you can see rides that have been publicly offered on the market. This is an overview only. To accept these rides, you need to use the Qatch Partner App and accept the ride there as a driver.
- Reviews – Within this section, both drivers and passengers can be reviewed. You will find an overview of all reviews and performances, giving you insight into quality and reliability.
We will look at them in detail below.
Rides
This is your ride overview. Here you will find all rides with their corresponding details, such as pick-up time, passenger, driver, and amount. You also can manually make changes to rides.
- Assignment status: This offers various options to assign rides efficiently and in a controlled manner. Depending on the chosen option, the ride is automatically or manually assigned to a driver, team, or external party. Below is a detailed explanation of each function:
- Self: With this option, you assign the ride directly to yourself. This is particularly suitable when you are personally carrying out the ride.
- Team: With this setting, the ride is assigned to your team. The system ensures the ride is made available or distributed within the selected team.
- Market: This option makes it possible to open the ride to the Market. External parties can accept the ride according to the applicable terms.
- Later: This postpones the assignment of the ride. The ride remains temporarily unoccupied and can be assigned at a later moment.
- Nearest: The system automatically assigns the ride to the nearest available driver, based on location data.
- My Drivers: With this option, the ride is assigned to drivers who are directly employed by your organisation.
- Back to Base: This function sends the ride back to your own planning or management system (for example, the BS-system), so that further processing can take place there.
- Assign Manually: This allows you to manually select a specific driver and directly assign the ride.
- Auction: With this option, the ride is offered via an auction mechanism, where the price increases until a party accepts the ride.
- Quote: The ride is offered based on bids. Execution takes place after the price agreement has been confirmed.
- Automatically Assign: The system automatically assigns the ride based on pre-set criteria and preferences, such as availability, location, and planning
Add Ride
- Click on + Add Ride to create a new ride. An input screen then opens in which you can fill in all ride details. Here you can, among other things, select a driver, set the destination, determine the time, and if needed, add a return option. You can also enter a price quote, record customer details, and determine the commission.
- Carefully review all entered details.
- Then click “Send Ride” to definitively submit and process the ride in the system.
Create Bundle
- Click on + Create Bundle to bundle rides. This means that a driver is assigned multiple rides simultaneously. Note: the ride must have the assignment status ‘Later’, otherwise this function will not work.
- Step 1: Check whether the toggle function is visible on the left side of the ride list.
- Step 2: Enable the toggle for the rides you want to bundle.
- Step 3: Give the bundle (Batch order) a clear name and select the desired assignment option.
- Then carefully review all entered details.
- Click “Send” to definitively submit and process the bundle in the system.
Users
It is important to properly manage and connect your contacts – such as companies, drivers, and passengers – within the platform. Under the “Users” section, you will find an overview of these different parties, and you can easily create and manage new users. On the following pages, we explain step by step how to add and set up partners and/or drivers.
Partners
Under “Partners”, you will find an overview of your own partner account. Via the “Action” button, you can change your settings, view documents, adjust details, or add a Passenger.
Important to know: to adjust the settings of your Partner account, you need to be in this section. The profile overview you saw earlier contains only the general and global settings.
Within your Partner account, you get access to extensive and detailed configuration options. Here you can, among other things, precisely set how the ride price is calculated, which commission percentages apply, and how the booking module functions. There are also various other options available with which you can fully tailor your account to your preferences and working methods.
In short, the Partner account is the central place for managing and optimising all operational settings.
Settings
- Invoice Settings: are automatically generated in the form of the template created by Qatch. You can set the invoice frequency to weekly or monthly. There are three invoice options: for the customer, for the driver, and for companies.
- Assignment Settings: The initial profit is set as commission in percentages. With the ‘automatically assign’ option, you can determine on what criteria rides are assigned.
- Fixed Price: Based on favourite or frequently used addresses, you can apply a fixed price. This provides clarity for both customer and driver, and makes pricing agreements transparent and consistent in advance.
- Booking Tool: Here, you configure all essential settings for the booking process. Think of connecting a payment gateway for online payments, setting up a unique URL link for your booking page, and generating a QR code so customers can easily gain access. You can also adjust the colour settings so the module fully matches your corporate identity and has a professional appearance.
- Fees: In this section, you set the rates per vehicle type. You can use various pricing structures, such as start rates, price per kilometre, or per minute. This offers flexibility to align your rates with the type of service and target audience, and ensures a clear and consistent pricing structure.
- Surge: Here, you can set dynamic price adjustments based on day and time. This makes it possible to automatically apply a surcharge during busy periods, such as weekends, public holidays, or rush hours. In this way, you can respond to supply and demand and optimise your revenue without manual adjustments.
Drivers
An overview of all drivers, including their status, performance, documents, and assigned rides. Here you can add, edit, and manage drivers.
Guests
An overview of all guests using the platform, including contact details and their activity within the system.
Riders
An overview of all passengers with extensive profile information, contact details, and a history of rides taken.
Company
An overview of all companies that work with you. Here, you can add a new company so they can have access to their own Qatch portal from where they can submit rides to you and have an overview of them. Via the ‘Action’ button, you can view documents, see company details, approve or reject a request, and assign the company to a partner.
To add a new company, click + Add Company and go through the steps in the form. Make sure all details are filled in correctly and completely. Then click Send Company to complete the process.
Admin
An overview of all administrators with their roles, rights, and access levels within the portal. Here you can add and adjust administrators.
Connections
Within the Connections function, you can easily manage connections and link partners, companies, and teams with each other. You can create various links, such as partner to partner, partner to company, and add teams.
The importance of this is that the right drivers, companies, and providers are correctly linked to each other. This ensures efficient collaboration within the platform, minimises errors, and keeps rides and assignments running smoothly and clearly.
Each link is created in the same way via the buttons + Add Partner to Partner, Partner to Company, or + Add Team. Always check that you select the correct name; the input bar also functions as a search tool. Click Send to confirm the link.
Map View
The Map View provides a general overview of all drivers on the map. Each pin icon shows a location, and by clicking on it, you can immediately see which driver is linked to it. You can also search by name and filter by city to navigate more quickly. This allows you to monitor drivers in real time, track them, and easily live-track their current position within the system.
Invoices
Under Invoices, you will find an overview of all invoices within the system. With the available filter options, you can quickly and easily find the right invoice based on relevant details. Via the “Action” button, you can download an invoice and send it to the sender, the recipient, or both parties. This keeps the invoicing process clear, efficient, and fully manageable within the platform.
Favourite Addresses
Favourite Addresses allow you to create and save fixed locations for easy use as a departure or arrival point. This makes planning and navigating rides faster and more efficient. You can view, manage, and adjust the saved addresses per driver via the “Action” button. This gives you full control over important locations and ensures a clear and streamlined way of working within the platform.
